Frequently asked questions
Can someone obtain Thai records on my behalf while I am abroad?
Generally yes, using a power of attorney that names the specific documents and purpose. A power of attorney executed abroad is usually signed before an officer at a Royal Thai Embassy or Consulate-General, or notarised and then certified onward, with copies of both parties' ID or passports attached. Some record types still require the subject to attend in person, so confirm with the issuing office before sending anyone to the counter.
How does a freshly issued certified copy differ from my own photocopy?
A certified copy issued by the originating office carries its seal, the officer's signature and a current issue date, so it can be traced and satisfies recipients that impose a document-age limit. A self-certified photocopy does not meet the requirements of consular legalisation or most embassy filings. Where the destination requires a document issued within a set period, only a fresh certified copy will do.
Which records are commonly retrieved by representative?
Birth certificates, marriage and divorce records, house registration extracts, certificates of single status, change-of-name certificates, death certificates and other district registrar records. Stricter conditions apply to registry records containing other people's personal data, and to court or police records, some of which require the subject to file personally or to have an order permitting release.
What happens after the records are obtained?
For overseas use the standard order is: translate into the required language, have the translation certified and legalised at the Department of Consular Affairs, then obtain the destination embassy's stamp in Thailand. When the Apostille Convention enters into force for Thailand on 28 February 2027, the chain shortens for Convention parties. Planning how many copies you need at the outset saves far more time than ordering one document at a time.
How many copies should I order?
List every body you will file with — embassy, foreign registry, university, employer, bank — and note whether each wants an original, a certified copy or a plain copy. Then add one spare set against loss in transit. This avoids repeat trips to the issuing office and reduces the risk that a document expires while you wait in the next authority's queue.
