Documents to prepare

Step-by-step process

1. 1. Check the evaluator's rules — Sealing, sender and delivery channel differ between services.
2. 2. Request documents from the institution — Ask the registrar for English versions sealed in the required format.
3. 3. Certify translations of Thai-language content — Course titles, grades and stamp text must all be translated.
4. 4. File the evaluation application — Complete the online form and pay the evaluator directly at its own rates.
5. 5. Track until receipt is confirmed — Keep tracking numbers and confirmation emails.

Pitfalls and rejection causes

• • An opened envelope is void even if the contents are correct.
• • Many evaluators refuse documents forwarded by the applicant.

• Separate public documents from private ones

  Public records such as house registration, birth and marriage certificates enter the certification chain directly. Private documents such as powers of attorney, affidavits and contracts must first be attested by a Notarial Services Attorney.

• Check whether the destination is an Apostille Convention party

  For member states the chain ends with an apostille and no embassy step is needed. For non-member states the document must continue through the destination country's embassy. Verify the current member list on the HCCH website.

• Keep a scanned backup at every stage

  Photograph or scan every page before submission and again after each stamp, so you have a reference if a document is lost in transit.

• Get the receiving party's requirements in writing

  Universities, employers and registry offices publish their own checklists. Obtaining that checklist first fixes the number of copies, the language and the certification route correctly on the first attempt.

• Opening a bound and sealed bundle

  Bundles sealed across the binding must never be separated. Removing the staple voids the certification and the whole set has to be redone.

• Signature mismatch

  Signature attestation is compared against the signature on the ID card or passport. A different signature style will be refused at the counter.

• Certifying a copy that no longer matches the register

  If a registry entry changes after the copy was issued, for example a name change or address move, the certified copy will contradict the database. Re-issue before starting.

• Mixing both routes

  Requesting an apostille and an embassy legalization at the same time when only one is required wastes time and can raise questions at the destination. Pick the single route that matches the destination's convention status.
