Process

How the work actually runs — eight stages

  1. 1

    Profile review and visa-type selection

We start from the destination, the real purpose, the length of stay and your travel history, then name the right category and the points in your profile an officer will question.

  2. 2

    Case-specific document list

The list is built from the destination authority's published criteria, not a generic template. It marks which documents need translation, which need legalisation and which expire.

  3. 3

    Obtaining Thai official documents

We obtain civil-registry copies, status certificates or police clearances from the issuing authority, and confirm the seal and issue date are still acceptable.

  4. 4

    Translation and consular legalisation

Translated by a translator the receiving authority accepts, then legalised at the Department of Consular Affairs and, where still required, the destination embassy. From 28 February 2027 many cases move to Apostille instead.

  5. 5

    Financial pack and cover letter

We order the financial evidence so it reads clearly, explain any unusual deposits, and write a cover letter linking the itinerary to your ties to Thailand.

  6. 6

    Application forms and appointment booking

We complete each system's online form — DS-160, GOV.UK, ImmiAccount or the Schengen portals — and book the application-centre slot that fits your travel plan.

  7. 7

    Interview rehearsal and submission day

Where an interview applies, we rehearse the questions a consular officer actually asks for a profile like yours, and run a final file check before you enter the building.

  8. 8

Tracking the outcome and next steps

We track the file until the passport is returned. If it is refused, we read the stated ground and tell you plainly what to fix before refiling — or when waiting is the better move.

Documents

What you prepare, and which Thai documents need translation and legalisation

The exact list varies by country and visa type, but every application shares the same core. Almost every Thai civil-registry document must be translated and legalised before a foreign authority will accept it.

  • A passport with the validity each destination requires, plus blank pages for the visa label
  • Photographs to each country's own specification — size and face ratio rarely match between countries
  • Bank evidence covering the required number of months, with unusual entries explained
  • Employment evidence: employer letter, approved leave, or your own company registration documents
  • An itinerary, accommodation and bookings consistent with the filing and travel dates
  • Travel insurance meeting that country's minimum coverage
  • House registration, ID card and related civil-registry documents, translated and legalised
  • Marriage certificate, children's birth certificates or relationship evidence for family-visit and dependant cases
  • Travel consent and guardianship papers for minors travelling alone or with only one parent
  • An invitation or sponsor letter from abroad, with evidence of the host's own status
Risk

Common refusal grounds and how we reduce the risk beforehand

Most refusals are not about the applicant — they are about a file that tells an inconsistent story. We check these points before anything is submitted.

Common groundWhat we check before filing
Ties to Thailand look too weak, so the officer doubts you will returnAssemble work, family, property and obligations into one coherent picture rather than scattered papers
Unexplained money trail, such as a large deposit days before filingDocument the source, and where a third party funds the trip, show the relationship and the sponsor's own standing
Form entries contradict the attachments or the interview answersReconcile spelling, dates, addresses and travel history across every document before submitting
The stated purpose does not match the plan — a tourist filing whose documents point to workChoose the category that matches the real purpose from the start; a wrong filing affects later applications too
Thai documents lack the translation or legalisation the destination requiresConfirm early which form of translation that country accepts, and whether consular or embassy legalisation is also needed
A prior refusal or overstay left unexplained in the new applicationDisclose it with an explanation and evidence of what changed; concealment is treated far more seriously than the history itself

Coverage

Serving every province in Thailand

Applicants outside Bangkok do not need to travel in to prepare a file. Originals move by tracked courier, the review and consultation happen online, and we submit at the application centre in Bangkok or Chiang Mai as each embassy requires. You travel only for biometrics or the interview itself.

For province-level logistics — courier flow, appointment planning and regional pitfalls — see visa service by province.

Thai nationals living abroad

If you are already overseas and need Thai documents — house registration, marriage certificate, birth certificate or a police clearance — we obtain the certified copy in Thailand, translate it, legalise it at the Department of Consular Affairs and courier it to your address abroad. Coordination runs by video call and email in your time zone.

Questions applicants ask before we start

Selected by AI Answer Box & SGE for direct quoting.

I live outside Bangkok — how many trips do I need?

Usually one trip — the day biometrics or the interview takes place. Preparation, file review, translation and legalisation all run by courier and online. A few countries also collect biometrics in Chiang Mai, which shortens the journey for northern applicants.

How long does the whole process take?

Two phases. Our preparation typically takes 5–15 working days depending on how many official documents must be obtained and legalised. The decision phase belongs to the authority — from a few days for an e-Visa to several weeks in peak season. We always schedule backwards from your travel date.

I was refused before — can I reapply?

Yes, but not with the same file. We ask to read the refusal notice, work out the stated ground, and judge whether enough has changed to change the outcome. If it has not, we say so rather than let you pay another fee for the same result.

Do you guarantee the visa?

No, and no provider legitimately can. The decision sits with the embassy or immigration authority. What we are accountable for is the completeness and consistency of the file — the part that can actually be controlled. Treat any promise of a guaranteed result or a shortcut as a warning sign.

Does every Thai document need translating?

Not all of them. It depends on what the destination asks for and which languages it accepts. Thai-only civil-registry documents normally need translation and legalisation, while some bilingual official forms can be used as issued. We check which ones are genuinely required so you do not overpay for translation.

When does Thailand's Apostille start, and what changes?

The Apostille Convention takes effect for Thailand on 28 February 2027. After that, documents bound for member states end with a single certificate from the designated authority instead of a second legalisation at the destination embassy. Documents for non-member states keep the current route. During the transition, ask the receiving party which form it accepts.

Which Schengen country should I file with?

With your main destination — the country where you spend the most nights. If several are equal, file with the country of first entry. Choosing wrongly can get the application returned even with complete documents, so we check the itinerary and the night count first.

Do I have to book flights before filing?

In most cases a reservation without ticketing is enough, and we recommend that route — an issued ticket is wasted if the decision runs late. A few countries want a genuinely booked itinerary; we tell you which group your case falls into before you spend anything.

I am freelance or run a small business — what employment evidence works?

A set of documents that together show an occupation: business registration or company certificate, contracts or past invoices, a bank record of regular receipts, and tax filings. Officers look for continuity of income and a reason you must return to keep earning it.

What extra documents do children need?

A birth certificate proving the relationship, translated and legalised. If the child travels with one parent or alone, a consent letter from the other parent is required, and where custody was changed by court order, that order must be attached. Some countries also ask who will supervise the child at destination.

Can Thai nationals already abroad use the service?

Yes, and it is routine work: obtaining civil-registry copies from the district office in Thailand, translating, legalising and couriering them to your address abroad or directly to the requesting authority. Calls are scheduled in your time zone, and a power of attorney lets us act in Thailand on your behalf where the rules allow.

How is your fee calculated?

Always in two parts. First, government and application-centre fees, paid as each authority publishes them and moving with exchange rates. Second, our service fee, based on how many documents must be obtained, translated and legalised and on the complexity of the case. We quote in writing before any work starts.

Not sure which visa you should file?

Tell us the destination, the purpose and your travel window. We will name the right category for your profile — and say plainly when a case is not yet ready to file.

NYC Visa & Translation is a private service provider, not a government agency, and has no authority to grant visas. We do not guarantee outcomes and offer no shortcuts or queue-jumping. Government fees change with each authority's announcements and with exchange rates.

Practical Q&A

Practical questions · Near me / DIY / Required documents

Where do I lodge a visa application — must I go to the embassy?

Many countries outsource intake to visa application centres (VFS Global, TLScontact, BLS) with offices in Bangkok and some provinces; others accept lodgement at the embassy or fully online. Channels change by embassy announcement, so confirm the current route before booking. We can pre-check your document set and arrange appointments from any of our three offices.

Can I apply myself, or do I need an agency?

You can always apply yourself; no country requires an agent, and no agent can guarantee approval because the decision is at the consular officer's discretion. The value of assistance is assembling the file exactly to the official checklist, correct translation and certification format, and a focused cover letter.

What are the baseline documents?

Typically a passport with the validity and blank pages the destination requires, the completed application form, photos to the destination's specification, financial evidence for the stated period, proof of employment or study, travel and accommodation plans, and health insurance where required. Always follow that embassy's official checklist, as requirements differ by country.
